Who has the best email service and how do you make sure you have it? 

Well, there are several things to look for when you are getting a Free email service.  First,  look out for the word Free - sometimes it's not what it seems.  Having an email address that is abigboy1224@wahoo.com may be free, but what kind of image does that represent?  By setting up your own web address, you can have a professional email address.  For example, if you own Bills Plumbing, you should have an email address that has your own domain name, such as Bill@BIllsPlumbing.com.  We also suggest that you have your web address, or domain name, with a company that provides a free email address.  Next, make sure that you have enough storage with your free email account - we suggest 1GB to store your messages.  This should come free when you register your web address and should nor require an extra fee.  if you require a lot more storage then you can upgrade to a larger plan.

Make sure that you can personalize your email address and that you can also forward your email addresses for free.  Forwarding allows you to have additional email addresses and forward it automatically to another address.  Forwarding also allows you to cut down on spam by using a club or group email address online without letting people have access to your personal email address.   You can even get creative and use the forward option to send a copy of your email to your cell phone via text message.  We'll write another blog entry to show you how to set this up, but all you need is your email equivalent address for your provider and you can send a portion of the email to your text device.  That way, if you are expecting an important email, you can make the service automatically text you when the email arrives.

Always look for a "Catch All" feature.  This will allow you to make sure that if someone mistypes your email name, but gets the domain name right that you will still get the message.  For example, if your email address is Bill@yourdomain.com and someone accidentally types Bil@yourdomain.com, you would still get the message as long as the domain name is typed correctly.  This can make sure that you don't miss an important email.  We strongly suggest that you always use the "Catch All" feature.

Another nice option to have for your email is the ability to set up multiple email addresses which can be used for business associates, group or club members, or even in a special promotion.  For example, you might advertise for an opening or a big sale and you can assign an email address that is customized such as sales@yourdomain.com.  Another option to look for from a free email service provider is a free auto-responder.  An auto-responder allows you to automatically send out a message to any emails received by that address.  This can be used for vacation notifications, customer service notices and even special sales announcements for promotions.    For example, if you own a business, you might have an autoresponder send a message that says we have received your message and your business is important to us - one of our representatives will contact as soon as possible - thanks for contacting our business.

Lastly, make sure that you get an email service that allows you to access your emails remotely via a secure webmail application with virus and spam protection.  It is always good to be able to check your messages when you are away from the office or out of town.  This is one option that is hard to do without.

Getting something for free is always good.  Just make sure that when you are looking for a free email service that you look for a provider that will give you at least 1 GB of storage; Multiple custom addresses on your domain name; free email forwarding; a free auto-responder; and a secure remote webmail application.
